Frequently Asked Questions

Questions organizations ask us.

Straight answers about setup, requests, interpreters, and billing. If yours is not here, ask us directly.

scheduling

How far in advance should I request an interpreter?
We recommend 72 hours for standard requests. Urgent and emergency coverage is available.

Getting started

How do we get started with ULS?
Complete the client setup form on this site. It takes a few minutes and covers who you are, where you operate, and how you expect to use interpreting services. We handle the vendor paperwork from there. Setup is free and carries no obligation to request anything.
What does setup cost?
Nothing. There is no setup fee, no retainer, no subscription, and no minimum volume. You pay only for services actually delivered, at the rates set out in your service agreement.
Do we have to use you once we are set up?
No. Being set up simply means you are ready. Many organizations complete setup and do not request for months. That is exactly how it is meant to work.

services

Do you provide remote (VRI) interpreting?
Yes — video remote interpreting is available on-demand and by appointment.

Requests

How much notice do you need for a request?
More notice means more choice of interpreter and better specialization matching. Short-notice and same-day requests are still worth submitting, and urgent requests are worked directly by a coordinator rather than queued.
How do we request an interpreter?
Existing clients request through the form on this site or through their client portal. Every request lands in the same system, so your account history stays complete.
Can we request a specific interpreter?
Yes. If continuity matters, tell us at booking. We schedule the same interpreter wherever their availability allows, which is especially valuable in medical, mental health, and educational settings.
Can we request an interpreter of a specific gender?
Yes. Tell us at booking and we honor the preference wherever availability allows. This matters in many medical and personal settings.
What happens if you cannot fill our request?
We tell you promptly and directly so you can make other arrangements. We will not leave a request open to protect a statistic.

Interpreters

Are your interpreters certified?
We assign qualified, certified interpreters matched to the setting. Court assignments are matched to the credentials the venue requires, and medical, mental health, and DeafBlind requests are matched to interpreters with that specialization.
Why do some assignments require two interpreters?
Interpreting is cognitively demanding and accuracy declines over extended periods. Long or intensive assignments are staffed as a team so the quality holds from start to finish.
How do you handle confidentiality?
Interpreters work under professional codes of conduct that require strict confidentiality. In healthcare settings they work in HIPAA-aware environments, and in legal settings they observe the confidentiality the matter requires.
How do we become an interpreter with ULS?
Apply through the interpreter application on this site. We review credentials, experience, and specializations, and we are transparent about rates and expectations from the first conversation.

Services

When should we choose virtual interpreting instead of on-site?
Virtual works well for short appointments, distributed teams, and remote locations. On-site is the better choice for long or emotionally heavy appointments, procedures involving sedation, DeafBlind consumers, young children, and meetings with many simultaneous speakers. We will tell you when we think a request should be on site.
Do you cover our area?
We coordinate interpreting nationwide, on site and virtually. Coverage for a specific location and date depends on interpreter availability, and we give you a direct answer quickly.
Can you support several locations under one account?
Yes. Multi-site organizations request under a single account with consolidated records and billing, while each location requests independently.

Billing

How does billing work?
Rates are set out in your service agreement before anything is booked. You are invoiced for services delivered, in the format your accounts payable process requires. No hidden fees.
What is your cancellation policy?
Cancellation terms are specified in your service agreement so there are no surprises. Tell us as soon as you know, since early notice lets us release the interpreter for other work.

Access and compliance

Can you tell us what the law requires of our organization?
No. We can explain what interpreting services exist, how they are typically used, and what tends to work operationally. Determinations about your legal obligations belong with your counsel or compliance team.
Is a family member allowed to interpret?
Relying on family members introduces accuracy and privacy risks, and many organizations have policies against it, particularly in healthcare. A qualified interpreter protects everyone involved. For your specific obligations, consult your counsel.
Do captions replace an ASL interpreter?
Not for everyone. Captions serve many people well, but English is a second language for many Deaf people whose primary language is ASL. A qualified interpreter or a recorded ASL translation communicates far more directly.
